Changes in the software
Make sure that you read ALL update changes before you do
your update. Some changes may affect your pharmacy operation and may
require the setup of certain of new features.
1. The worker's compensation claim forms were not subtracting the co-pay for the total due when printing. This is corrected.
2. If the ingredient was expired when using the bar coding and making a log. If you selected that you did not want to use an expired chemical the software would not change the current ingredient. This is corrected. This was introduced in 3.10.5
3. The Rx on hold label now prints the DATE ENTERED into the fill date for the label.
4. There was a correction to the PCCA CPM
report (Hospice segment).
5. There were several new PCCA CPM segments added to this release:
Adrenal Therapy, Autism, Dermatology, Mesotherapy, Podiatry, Thyroid Therapy and
Wound Care. The use of these segments requires a new download from PCCA.
Contact PCCA CPM Services for this new download.
6. You can select the PCCA CPM segment by using the first character of the segment name and not by a number.
7. There are some minor changes to the new Purchase Order module (QuickBooks module).
8. There was a correction to the new pricing by quantity for pricing schedules.
9. The new QuickBooks purchase order information is in the new manual.
10. When selecting a bar coded chemical during a log, the software now adds the expiration date to the items displayed.
11. When selecting a bar coded chemical during a log the software will no longer check for an expired chemical IF there is no expiration date for the chemical.
12. On the formula PAL sheets, we moved the PAL name to the bottom of the page and to the right. We also made the font size 7.
13. The new patient retention report now includes more fields. These additional fields can be export to Excel.
14. There was a correction to the Link Log to Rx function. There was a possibility where the quantity of the amount dispensed (on the other system) was not correctly taken out of the log amount remaining.
Changes in 3.10.5
August 25, 2005
Changes:
1. New DEFAULT PRESCRIPTION CHECK SYSTEM. This system will
allow you to select a default prescription for a patient and when you save a NEW
prescription it will check the new Rx information against the default Rx that
was setup. If ANY of the following has changed (drug dispensed,
doctor, # of refills, price, quantity, sig, days supply ) the software will
display a warning message information you of the change.
From the patient's Rx history screen you can press the BLUE FLAG icon to show
the drop down menu. There are two choices. 1. Set Rx as
default Rx and 2. Cancel default Rx. If you press the SET RX AS
DEFAULT button, you will be able to select one of the patient's prescriptions
and set it as the default. If you press the CANCEL DEFAULT RX you
will be able to cancel the default Rx. There is a new section in the
manual describing this feature.
2. You can now add the patient's initials to the prescription
label/receipts/signature lines, etc.
3. If you click on the column headers
while using the simple edits an A/V might occur. This is now corrected.
4. Corrected: Prescription history window->Show Rxs (filtered list).
"Column F unknown" error.
5. From the patient history window, when you print the patient's shipping information the report now goes directly to the printer and does not go to the preview window. This bypasses one step & makes it faster.
6. Prescription Log of scripts: New
filters were added: By patient insurance 1, By patient insurance 2, By patient
insurance 3, By patient insurance. This will allow you to filter the
report by the patient's insurances.
7. Users of the PC Charge credit card billing module. The report
stored in PK Software shows the last 4 digits of the card. In some cases
it may have stored the last 5 digits with the last digit being taken off.
This is corrected.
8. The Dr Contact/Fax system now has a new search feature. You can now search by just a Date range with nothing else. I.e. "What faxes did I sent between two dates?"
9. The Dr Contact/Fax system now has a default search button. This will restore the default search pattern.
10. The Dr Contact/Fax system now has a select dates box to allow you to quickly select dates.
11. In the dates selection boxes through out the program we added "Yesterday".
12. In Options we added another tab called Rx setup 2. As the options grow, we need more room on the window.
13. When filling a prescription for a controlled substance and the patient does not have any information in their SSN, DL#,MISC. ID field the software will display a warning telling you that their may be information that is required by your state by the ASAP report. This message is now optional. Go to Options->Rx setup 2->"Warn on Rx if no patient SSN, DL#".
14. In Options there is a new feature that will highlight the required fields for a prescription. Go to Options->Rx setup 2->Show Rx "learn fields".
15. When you make a log on the COST tab you use the timer function, the software now keeps track of the TOTAL TIME TO MAKE. If you start and then stop the timer and then restart the timer the software will show the session time but still keep track of the total time to make.
16. There is a new check box field in the formula edit window called CRUSHABLE. It is on the DESCRIPTION tab. This may be used to check if the product can be crushed. I.e. tablets.
17. On the patient edit window there is a new
field for RACE. It is on the first tab.
18. On the patient edit window there is a new field for PREFERRED CONTACT.
You can set phone1, phone 2, cellular, etc. This is on the second tab.
This is currently only for use on the 2nd tab of the patient edit.
It only displays which method they preferred to contacted.
19. On the patient edit window there is are new fields for the patient's
driver's license number and the driver's license state. These are on
the second tab.
20. On the patient edit windows there is a new check box field for RESPONSIBLE PARTY. It is on the PREFERENCES tab. This may be checked it this patient is responsible for themselves.
21. On the doctor edit window there is a new field for PREFERRED CONTACT. You can set phone1, phone 2, cellular, etc. This is on the second tab.
22. PC Charge users: There are several changes in this version for credit card module. The credit card history report has been redone. You can now select the type of transactions in the report. We now store the TroutD number with a description of the charge.
23. There is a new feature available when filling a new prescription. This helps automate entering of the prescription directions. To use this feature you must a SIG CODE that has the exact same name as a DRUG/FORMULA FORM. I.e. You have a sig code named CAP and you have a formula with the form of CAP. When you fill a new prescription and you select a formula that has the form the same as the sig code it will enter the sig code into the sig line. Then when you exit the sig line it will use the sig code. It will also say "auto sig code from formula form" in the status window (bottom window panel).
24. The sig codes where lengthened to 15 characters. The formula's auto sig codes were also lengthened to 15 characters. This allows you to have longer sig codes and helps when converting from other pharmacy systems.
25. There is a new Tab in Options. "Clinical Module". This contains the clinical module setup information.
26. There is a new option for the software.
When you fill a prescription and you did not enter a lot number and you
saved the prescription you would get a warning message telling you that there is
lot number. This message is now optional. Options->Rx setup #2
tab.
If you are filling a compound Rx it is recommended that you use the drop down
list to get the lot number. By doing this the software will know how much
to take out of the inventory for a log. If you do not enter a
lot number the software will still take it out of the total formula inventory
but not touch the log inventory.
27. Clinical Module users: There is a new option that will not display the message "Not all of the patients drugs where checked for for drug interactions." Options->Clinical tab. If this is checked you will not get the warning message or be able to display what drugs/formula/chemicals were not checked.
28. PCCA TIP #235: Please add that "1% Sodium Lauryl Sulfate should not be used orally". All future releases have this correction.
29. There is new way to use special quantity
pricing. This is for a group of drugs that can be the same price
regardless of strength and/or form. I.e. BI-EST CAPSULES of various strength. If
the pharmacy wanted to use the same special quantity price for all formulas in
that group they have to set up each formula with its own special quantity price.
In this version we've added another way to accomplish this. We've attached
special quantity pricing to a PRICING SCHEDULE.
For example we can add a new PRICING SCHEDULE and call it
BI-EST CAPSULES. We can then add the special quantity pricing to the
pricing schedule. Next we need to assign the BI-EST CAPSULE formulas to
use this PRICING SCHEDULE. There is no need to add special quantity
pricing to any of the BI-EST CAPSULE formulations of the various strengths.
NOTE: If the formula is assigned to use a pricing
schedule that uses one with special quantity pricing, the special quantity
pricing will always override from the formula's special quantity price.
NOTE: The pricing schedule's special quantity price follows
the same special quantity pricing rules as set up in Options.
30. We've added two more filters to the log of scripts report.
Patient ZIP and Doctor ZIP.
31. We've added two more sorts to the log of scripts report. Patient ZIP and Doctor ZIP.
32. There is a new custom report on the web that is more powerful for working with the log of scripts report when working with patient and doctor states. This can be downloaded and installed in the software. Follow the directions in the manual to download and install a custom report.
33. There is a new feature that tracks when certain reports were ran. This is mainly for administrator purposes. You must have Data & Report Tracking turned on in Options to track reports. Use the utility File->Program Utilities->Data Exception Tracking->Report Tracking to view information on when the reports were run.
34. There is a new feature on the Prescription History window. It's called Find family. This is next to the "edit patient" button. It also has a hot key of F10. If you press this button, it will show all patients that have the same PHONE #1 as the patient. (Most of the time this will be the patient's family). This feature is also available on the patient lookup window.
35. The Report Builder (user created reports) menu choice is now available from most lookup windows. It's is on the reports button.
36. There was a bug in formulas with sub formulas when making a log and then dispensing it through a prescription. All inventory was adjusted correctly except for the "items checked into chemical inventory". This is now corrected.
37. There is a new check box on the patient's 1st tab. Head of household. This is for use with our Point of Sale integration module. You may also use it to check the head of house hold.
38. PCCA CPM users: You can now have the software use the 01. Non-Compound segment for pricing OR you can have segment 01. Non Compounds use the software's default pricing. File->Options->Rx Pricing->CPM pricing options.
39. There is a new feature that may help some users "make a log" faster. It's in Options->Log Setup->"No automatic drop down for log ingredients and devices". Currently the software automatically activates the drop down lists for lot numbers, wholesalers and manufacturers in the ingredient and devices grids while making a log. Using this feature you can turn off the automatic drop down lists.
40. When you edit a prescription and change the quantity, the quantity owing is now automatically adjusted.
41. The software is now compliant for users that use multiple monitors. The windows are displayed in the current screen and not the desktop center.
42. In the software date functions we've added the months. I.e. Month 03 March will give the starting date and ending date of March of the current year.
43. Users in MA. There was an issue (blank spaces in the ASAP file) for users in MA that were submitting the ASAP 1.1 version. This is corrected in this release.
44. There was a correction to the Worker's compensation form.
45. The A/R invoice style #1 has changed. There is now more room for the DESCRIPTION.
46. PCCA CPM users. There are now 5 user defined categories. Contact PCCA CPM for more information.
47. There were several changes to the Rx image scanning. It now support many, many more scanners and is easier to use. It also provides several new capabilities: i.e. rotate image, image effects, panning, zooming. etc. See the new manual for details. This image scanning will be the premier of out document imaging system that will soon be introduced in the software.
48. The Rx image is now displayed on the Prescription Status Window on the third tab.
49. The Prescription log of scripts has a new filter: By doctor title.
50. The Prescription log of scripts report has a new sort. By doctor title.
51. The formula administration route is now added to the lookup grid.
52. You can now search and sort by formula administration route.
53. PCCA only: There are several changes to the special PCCA formula worksheet style.
54. PCCA Australia. There were changes made to the REPEATS form.
55. Cyclic filling: If the patient and Rx were set up to use the cyclic filling and you saved a new prescription the software would enter this information into the To Do management system. The due days was calculated from the days supply (if you entered a due date with the Rx then this date is used). In this release you can set up (Options -> Rx setup #2 -> # of days to take off on new Rx when adding to To Do management system) how many lead time days you need to prepare and or ship this to the patient. For example, if the Rx was filled on Jan. 1 with a days supply of #30. The due date would be Jan. 30. If you enter a 5 days lead time the due date would be Jan 25.
56. Cyclic filling: Options -> Rx setup #2 -> Add to To Do list when 0 refills. If this is checked when you refill a prescription and the prescription is cyclic filling but there are no refills remaining the software will now add this to the To Do list under the Contact Doctor section. It will add a note to contact the patient & doctor to see if they want to continue this prescription.
57. There is a new patient retention report. See the new manual for details on this report. Report->Prescriptions->Retention report.
58. A/R module: When using the A/R auto-charge the software now compares the invoice date with the computer's date to see if there is another invoice in the system that it can charge to. Also, the message has been redone to display information about the existing invoice that was found. It displays the invoice number, invoice date, description, PO number, credit amount, debit amount and transaction type.
59. A/R module: On the account edit
screen on the NOTES tab, there is a button to delete the note.
60. There were a few changes & formatting corrections to the Worker's Compensation
form.
61. NEW! This release includes the
new CAM Point of Sale module. See our
website for details.
62. You can now search for chemicals using the PKS bar code. After
an item is checked into inventory and is printed a PKS bar code, you can now
simply scan the chemical and the software will select it. You can use this to look
up a chemical or add a chemical to a formula by using the bar code scanner!
63. When making a log and you use the bar code scanner, just after you do the bar code check the software will now check for expired chemical. This will catch it before a user uses an expired chemical. If the user says that it is OK to use the expired chemical they will get a second warning when they press the SAVE button on the log.
64. The PAL's for formulas now prints the name, strength and form of the formula/drug on the first line and then print the name of the PAL on the second line.
65. The Doctor Usage report (Reports->Prescriptions->Doctor usage report) can now print mailing labels. This will make it easy to to mailing labels for your top doctors.
65. There is a new report Patient Usage report (Reports->Prescriptions->Patient usage report). This report is like the doctor's usage report. It can print a report and mailing labels. You can use this report to list your top patients.
66. There is a new button on the Rx History window named OTHER RXS. This is used to add, edit, delete prescriptions that were filled at other pharmacies. This makes it easy to add information about prescriptions filled at other pharmacies and include those in the clinical drug interaction check. See the new manual for details on this.
67. Clinical module users: The Drug Interactions window now displays the list of drugs (and their ingredients) that are being checked against the drug selected.. Prescriptions listed as "Other Rxs" are included in this list if they are added as Other Rxs (see #66) and the "Do clinical check" box is checked.
