Changes in the software
Make sure that you read ALL update changes before you do
your update. Some changes may affect your pharmacy operation and may
require the setup of certain of new features.
1. In Options, on the Worksheet tab the minimum number of decimal places is now 4. It was 3. This is for accuracy of formulas with very small amounts to avoid possible rounding errors. (The PCCA formula Dihydroergotamine Mesylate 1 mg Base MBK Suppository for example).
2. The PRECISA balance: The balances often return a value where the last digit is inside "()". I.e + 0.96(3). The software will now take out the "()" and leave 0.963. In previous versions we took only the digits to the left of the "(". This is a change for Australia users.
3. Clinical module users: Any patient/drug allergies that at displayed when filling a prescription are now stored in the data tracking. Data tracking must be turned on to use this feature.
4. When editing a prescription and using the To-Do list, the software now uses the Cyclic filling #days (in Options).
5. You can now embed images into Rich Text editors that print on worksheets, PALs, & report. Previously you could embed an image but it would not print on the reports.
6. The software now prints the updated Texas Workers' Compensation form TWCC-66.
7. When copying an existing formula, if the old formula has quantity pricing you will be asked if you want to copy the quantity pricing.
8. We've added support for fields PLACE OF SERVICE and TYPE OF SERVICE on the HCFA 1500 form.
9. We've added support for brands & generic wholesaler cost updates for the wholesaler Morris & Dickson. The instructions are in the new manual.

11. The FTP'ed online backup now stops the InterBase Server before compressing the file.
12. The "To Do" system added the QUANTITY field to the report.
13. There were some minor changes in the manual compounded claim form.
14. On the patient's prescription history screen, you can now print a PAL for the current selected formula. Report->Print PAL.
15. When the clinical module is deactivated the software now purges the clinical data. This purge takes about 1 hour. You should do a backup before you do the purge. You will not be able to use the system during the purge.
16. The OFF-SITE backup software can now be used by a Window's user account that is not an administrator.
17. During the Backup/Copy file backup method you can now do a TEST restore before the backup file is copied.
18. There is a new generic balance interface. Activities->Weight item on balance. You can use this to interface with the balance and print a weight from the balance. You can use this instead of a balance printer.
19. The ASAP report now asks for a BIN number. Some states require the BIN number. If you leave if blank it will include spaces in the report (same as before).
20. There are two new fields in the patient information: First Rx Date & Last Rx Date. These fields are set in the patient retention report. (Reports->Prescriptions->Retention report). These were added to allow a user to do custom reporting on the patient table. These fields are hidden and were only designed for custom reporting.
21. There is a new patient history report. PRESCRIPTION DRUG INSURANCE CLAIM FORM. Prescription history->Reports->Prescription Drug Insurance Claim Form.
22. The sigs (English, foreign 1 & foreign 2) have been expanded from 100 characters to 250 characters).
23. The formula/ drug inventory report has been shorted so each formula prints on one line. (Issue #4613).
24. ASAP reporting. Several
states require that you resend correct prescriptions back to them. They
only want the corrected prescriptions.
If you get a letters from the agency that is collecting your controlled
substance data stating that some of the prescriptions did not pass. (The
letter will tell you which Rxs and the reason(s) they did not pass. Edit
the Rx and make the needed changes. ON THE MISC. RX INFORMATION
TAB THERE IS A NEW FIELD, "ASAP Resend". Check this field if you
need to resend this Rx to the agency.
When you do the ASAP report, there is a check box on the window "Only include
Rxs marked as ASAP Resend". Check this box and select the dates for the
report. The report will only include those Rxs that have the ASAP Resend
marked. After the report, the software will clear the ASAP resend
flag for each Rx in the report.
25. You can now print the formula's flavor on the Rx label. (Issue #5513)
26. Rx templates. The software now has Rx templates. See the new help file for details and instructions.
27. Fill New Rx from template: See the new help file for details and instructions.
28. Add multiple all Rx's between two numbers to the To-Do list. Activities-> Refill Rx numbers between. You will enter the starting number and the ending number. The software will confirm the starting and ending prescriptions. When you press start, the software will add all of the prescriptions that are between and including the starting Rx number and the ending Rx number to the To-Do list. Even if the Rx has no refills remaining or is expired, it is still added to the To-Do list. (This was done as custom programming)

31. You can now add prescriptions from the patient's Rx history to the To Do list by pressing the F7 key. This is useful if a patients calls and wants 2 or more prescriptions filled. You can quickly add each Rx to the To Do list.
32. There is a new filter on the prescription log of scripts report. This filter is by PAL ID. You look up the Patient Advisory Leaflet ID and then print reports based on the PAL ID. You can leave it blank to print prescriptions filled that do not have a patient advisory leaflet assigned. (Issue #5567)
33. Prescription Change Refills screen changes: There is a new field that shows the date of the authorization.

36. The doctor's staff field has been expanded from 40 characters to 100
characters. (Issue #5822) 37. On the formula's special quantity pricing there is a new field
(check box) for the most common one. the software does not automatically
calculate this. The pharmacy can check the one(s) that are the most
common. (Issue #.5761) 38. There were some corrections in to To-Do list. When
deleting items with "Row sorts" checked, the item was correctly deleted but the
display was not refreshed. 39. Online billing: On the Formula->Pricing tab there is a new
field "Units of measure". This automatically fills in the UNITS OF
MEASURE field on the online billing window. 40. Log of Scripts: There is a new filter. By profit % (<).
You can enter a profit margin percentage, and the report will show all
prescriptions with a profit margin LOWER than what was specified. 41. Log of Scripts: There is a new filter. By profit % (>).

prescriptions with a profit margin GREATER than what was specified. 42. We've added a feature to quickly search for active & inactive
items. It's the "!" key. Let's use KETOPROFEN for example.
Let's say you have serveral KETOPROFEN formulations/drugs that are inactive.
When you display the drug/formula lookup screen, enter KETOPR and press
enter to view all the active formulas that start with KETOPR.
If you go back to the search screen enter !KETOPR (note the ! in front).
When you press enter the software will view all active and inactive
drugs/formulas that start with KETOPR. This is a keyboard short cut
to quickly search for active/inactive items. 43. We've created a new video on the Clinical module. Go to our

Module->Screen shots->Video to watch a short video on the clinical module. 44. There is a new field in the Rx label setup. Prescription->PRINT
"EDIT RX WHEN NO
LOT #". If a prescription is filled with NO LOT NUMBER, the
prescription label has a control that can be printed to say "EDIT RX/NO LOT#" on
the prescription label. Edit the Rx label. Add the control. (Prescription-PRINT EDIT RX WHEN NO LOT #) .
If the Rx has a lot number this control will not print. (Issue #4941) 45. The doctor's DEA check now checks for an invalid length. If
the DEA number is shorter or longer than 9 characters then a warning message is
displayed. If the DEA contains a DEA suffix, then the warning is still
displayed. 46. Off-site backup users: If you open the PK Off-site backup
software, you can enter your e-mail address. If your server cannot send
e-mails, we can still forward e-mails to you about your backup status. 47. On the prescription history screen and the prescription status
screen you can print the patient's shipping information. There is a new
check box that allows you to print the CURRENT RX NUMBER. It is printed
just below the patient information. 48. Clinical module users: You can now import the brand &
generics' drug description. This shows the shape, color and markings for
brand & generic products. Some states require this information to be
printed on the prescription label. We've done a long drug description (120
chars) and a short drug description (60 chars). If the drug is marked as a
brand or generic, the software will print the drug description. If it is a
compound it will print the formulas description field.
49. When doing a price quote the software
will now use the default insurance assigned in Options (usually CASH CUSTOMERS).

50. The PAL ID is now displayed when editing
a PAL. (Issue #6084)
51. The clinical merge module, now looks for
existing clinical drugs that have TXR numbers and not NDCLEN data. This
information is for support personnel.
52. PCCA CPM pricing. You can now
override the CPM price by adding a new pricing schedule based off of formula
form. I.e. Add a new pricing schedule named CAPSULE.
All formulas/drugs that have the drug form of CAPSULE will use the new pricing
schedule.
53. QuickBooks module:
The PO report now prints the package size & units.
54. You can now print the pharmacist's
initials (code) and the technician's initials (code) on custom batch labels.
55. Several of the batch labels now
print "Rx only" on them. This is for a law requirement. If you are
using custom batch labels, you may a a new control to to do this.
56. Options->.Rx setup #2.
There are now three ways to handle filling a new Rx for a controlled substance
where the patient's SSN field is blank: #1. Do nothing. #2.
Display a warning. #3. Do not allow the prescription to be filled.
(#3 was added in this update) . This may help your pharmacy to be
compliant for the ASAP reporting.
57. The sig list report now shows the full
250 chars for the sig.
58. The window to edit a sig has been
changed. Because an editor cannot word wrap it cannot display the
full directions. We've added a label to show the full sig.
59. There is a new module BULK RX filling.
This module is explained in the new manual. This allows you to
process the SAME RX (using a prescription template) for several patients.
60. You can now filter the Log of
Scripts report by patient gender (Male, Female, Animal).
61. ASAP V3R0 is included with this release.
OHIO users. This represent a a MAJOR change in the ASAP reporting. It is
much different than the earlier 5/95 data sets. For each compounded
drug that is dispensed, each ingredient that is a controlled substance will be
included. It must have a valid NDC number or it will be rejected.
You can get information from your state about this new ASAP format that is rule
based. You can also purchase a new ASAP Rules Based Manual directly from
ASAP that gives detailed information on this new standard.
62. FIX: When editing a prescription
and changing the date filled, the software will now correctly update the patient
Rx history last fill date.
63. You can now filter the Log of
Scripts report by Non-matching patient species. I.e. all Rxs where the
patient species is not HUMAN.
Instructions:
a. You must have the clinical module.
b. You need download the DrugDesc.txt file from our
website.
c. You need to import this file into The Compounder.
File->Data file utilities->formulas->clinical->Import drug desc.
d. You need add either the long or short drug description to
your Rx label. Edit Rx label style. Add control. Set
pipeline to Formula dispensed->Drug Description (long or short).
e. Contact support for more information.
You should read the document that came from Ohio regarding the new ASAP.
Contact them for the document. There are several reasons why a
claim will be rejected: 1. Phone number without area code. 2.
Each controlled active ingredient must have a valid NDC number.
With this new ASAP format, all active ingredients (controls) will be sent to
them.
64. On the formula's first tab,
there is a new drop down list TRIPLICATE/ASAP. This list is for drugs that
several states want triplicates forms or included in the ASAP report. I.e.
New York requires that some drugs require triplicate forms, Ohio wants
SOMA included in the ASAP report. Since the schedule of these drugs
falls outside the normal definitions and the state still want them reported we
use the TRIPLICATE/ASAP list. This drop down list allows the pharmacists
to include non-controlled substances in the triplicate list AND/OR in the ASAP
report.
The options are:
a. Triplicate required, ASAP not required.
b. Triplicate not required. ASAP not required.
c. Triplicate required. ASAP required.
d. Triplicate not required. ASAP required.
65. There was correction to the software for users that have the QuickBooks module. (message: ccAggregrate property does not exist).
66. When making a log, the SAVE & CANCEL buttons are now disabled until the data processing is complete. Some users were pressing the SAVE button before the data processing was complete. The SAVE button is also disabled after you press it.
67. The Billing NDC was added to the 4 line log of scripts report. (Issue #6813)
68. Bulk Rx filling module: The patients are now sorted by their Patient ID. This allows you to fill prescriptions in the order the patients were entered. In previous versions, they were displayed alphabetically. NOTE: You can still check ROW SORTS and click on the LAST NAME column to sort alphabetically. (Issue #6966)
69. There is a new field for the Rx
Label. This is for notice on the Rx label for CALL DR. LABELS.
It is a notice that you can print anywhere on the Rx label.
a. Instructions for use: Edit the Rx label. Add a DBText
field. Set the Prescription pipeline->Call DR Label Notice. Put it
where ever you want. In testing we set it to a large GRAY FONT and
put it in the middle of the directions so it acted like a watermark.
Save the label.
b. This field only prints when the CALL DR flag is set. (Issue
#6849)
70. We've added the Florida's WC form in this release. The form is DFS-F5-DWC-10 (5/25/2005) (Issue #6792)
71. You can now print out PAPER CLAIM
prescriptions by the insurance GROUP CODE. You can use this
feature to put the printing of insurance claims in a printing batch.
a. Reports->3rd party claims->Rx generated claims->Claims summary.
This report now includes the insurance's GROUP CODE field.
b. Reports->3rd party claims->Rx generated claims->Print claims.
From this window, the user can select an insurance (like in previous versions)
OR they can check the USE GROUP CODE check box and type in an insurance group
code. I.e. Print the claims for insurances that have the
group code of "WC". The claims and then put into que-batch and
printed.
72. A/R users: We took out the wording "filled on" and replaced it with "on" on the invoice line items. This allows more room for other items (Issue 6591)
73. If your state now requires that ALL prescription (regardless of schedule) require a SERIAL TRIPLICATE NUMBER, contact support and they can run a query on your database and will make ALL prescriptions require a triplicate number.
74. The detailed and standard logged formula worksheets now prints the QUANTITY MADE REMAINING. (Issue #6589)
75. The Compounder Lab users: There is a new report that shows all logs that were linked to a patient between two dates. (Issue #4855).
76. The To Do Management system now allows you to select a default view. The choices are: All, Fill Rxs, Make Logs, Consult Dr, Consult Patient, Deliveries and Others. This view is remembered by the software so that the next time you use the To Do Management system, your choice is now remembered.
77. In the To Do Management system the check boxes: Auto row height, show notes and row sorts are now remembered so the next time you open the window, the previous settings are remembered. (Issue #6861)
78. In the To Do Management system the default sort order is by date due, time due and then priority. NOTE: You can use row sorts to sort by priority first.
79. In the To Do Management system there are two new reports that only shows the items currently displayed in the To Do Management grid. (Issue #5622) One is a detailed report, the other report is not detailed.
80. The PCCA CPM report now shows grand totals and does not repeat the page header on each page.
81. There are three new filters in the log of scripts report. These are: By price override (all), By price override (increase) and By price override (decrease). Whenever the user changes the default price of a prescription, the software records the difference between the software's calculated price and the user's hand entered price. This is the override amount.
82. There is a new report type in the log of scripts. Price overrides report. This section formats the report data. You can use one of the new filters (see above) for the filter of the price overrides.
83. There is a new report type in the log of scripts. Patient ID/Formula speed code report.
84. There is a new patient address label report. This uses the patient's date entered and the patient class. (Activities->Marketing system->Patient class & days address labels...
85. PCCA members, the formula download will now do additional checks when downloading a formula from PCCA's website.
86. There is support for a new balance manufacturer: A&D. We tested with the GX series.
87. On the Log screen, we are adding Quality Assurance information to a new tab #6. Since this tab will not be ready for use until the next release, we moved the numbers up so it appears that tab #6 is missing.
88. PCCA CPM users: There is a new PCCA CPM price
override report. This breaks down the price overrides by PCCA CPM
segments.
89. When making a log and selecting an ingredient using the drop down lot
number, the ChemInv ID field is now displayed in the list. The ChemInv ID
is the unique ID assigned to each item checked into inventory. The
ChemInv ID is now printed on the detailed and standard logged formula
worksheets.
90. ASAP V3R0: The
software was using the first patient's phone number for the pharmacy's phone
number. This is corrected in this release.
91. The patient's phone number was added to the printed ASAP report.
