Changes in the software   

Make sure that you read ALL update changes before you do your update.  Some changes may affect your pharmacy operation and may require the setup of certain of new features.

Changes:

1.  Off-site Backup Subscribers:  Backups can now be scheduled using the Windows Scheduler.  Call our home office for details.  There is also an "Auto Stop" feature that will close the backup software 2 minutes after the backup has completed.  This is for use where the server computer is not used at all.  The -start parameter can be used to start the program & the Auto Stop feature will automatically close the software.

2.  There is a new document imaging system with this update.  You can now scan documents using a TWAIN scanner and attach the scanned item to patients, patient consultations, doctors, formulas, chemicals, chemical inventory, Certificate of Analysis ( C of A), etc.   You must have TWAIN scanner and a TWAIN scanner driver installed on your computer.  You can rotate, flip and make markups to the scanned documents.   More information is included with the new manual.

3.  With the new document imaging system you can also do a generic document scan.  I.e.  scan documents that are not attached to any specific item.  To use this feature, use the menu and select Activities->Document imaging.   More information is included with the new manual.

4.  When making a log, all pharmaceutical calculations are now stored with the log.  These are stored with the ingredients of the log.

5.  We've added the OHaus Adventure balances.  This assumes that you have the Ohaus Adventure setup the exact same as the Ohaus Explorer Pro series and that is returns information in the same format.   NOTE:  This balance is not supported by PCCA and if a user requires support by the PK Software Home Office, it is not covered under the regular support contact and will be billed at an hourly rate.

6.  We've added the Denver Instruments Pinnacle series balances.  Any of the Pinnacle series can be used.  You must setup the balance to use FORMAT1-FORMAT4 for the return data.  This internal calibration can be done from the software.  NOTE:  This balance is not supported by PCCA and if a user requires support by the PK Software Home Office, it is not covered under the regular support contact and will be billed at an hourly rate.

7.  The Chemical order report has been redone to only include active chemicals and only those chemicals where the stock is below the Minimum Reorder Qty.   Also the report now has more information.

8.  The Chemical Fax order report has been redone to only include active chemicals and only those chemicals where the stock is below the Minimum Reorder Qty.   Also the report now has more information.

9.  Online billing users:  The return data from the insurance is now stored with each online transaction.   Billing, rebillings and reversals.  To view the information go to the Prescription Status window and then to the Detailed History tab.  On the top is the button "View online billing information for current dispensing".  It will display a memo box with all of the billing information that was returned by the insurance.

10.  In the 3.12 update we included an "Rx Only" to be printed on some of the predefined batch labels.  In this release you can check on the label window to tell if you want to print the message or not.  This is for Avery & thermal batch labels.

11.  There is a new parameter command line to switch between multiple databases.  This is an advanced support option.  "-path" is the command line parameter.

12.   Patient & Doctor phone number formatting.  You can now specify to have the patients and doctors phone numbers formatted.  The format is (###)###-####.   The is selected in Options->Rx setup #2.  YOU SHOULD READ THE SECTION IN THE MANUAL ON "PHONE NUMBER FORMATTING" BEFORE YOU USE THIS.  If you have just starting using the software it is pretty easy.  If you already have phone numbers entered there will be some data reentering & the manual explains this.  There is a utility that can be used to help reformat phone numbers.

13.  Along with the patient & doctor phone number formatting we now included fields for phone number extensions.

14.  From the main toolbar there is now a drop down list to quickly add new "To Do" items.

15.  The patient's ID Bar code can now be included in the patient shipping information report.  This is for integration with UPS's shipping system.

16.  There is a new feature that will allow you to export prescription information in an XML format. 

17.  CORRECTION:  The A/R invoice alignment has been fixed.  One of the columns was off.

18.  When making a log the quantity made is now added to the instruction information.

19.  IV labels,  IV/Bag labels:  "Drug exp date" changed to "Beyond use date".

20.  You can now search for insurances by their BIN number.

21.  You can now search for insurances by their Processor Control Number (PCN).

22.  QuickBooks/Credit card module users:  When doing a payment with the credit card module, the software will now ask if you want to post the payment to QuickBooks.

23.  PCCA CPM users: You can now customize the CPM segment name by using mapping.   This should only be done under the supervision of PCCA CPM.  Note:  The drop down lists that shows the CPM segment names will have the wording "mapped" after the name if it's being mapped.

24.  You can now create User Identification name badges.  This can be used to log a user into the software.  This is for the Rx location tracking/workflow system.  Edit a user and press the "Print User ID badge".  You can also print it from the lookup list->reports button.    To log in using the User ID badge, just scan the ID badge using a scanner.  You will need to enter your password to log into the software.  NOTE:  You scanner must be setup to read CODE 128 & CODE 39.  If you have been able to read the chemical inventory bar codes  but not the user ID badges, then your scanner must be programmed to read CODE 128 & CODE 39.  For detailed information about programming you scanner, you can access SYMBOL'S support site at http://www.symbol.com/legacy_manuals/scanner/handheld.html and download a manual for your scanner.  

25.  Rx fax setup:   Can now print the FORMULA'S CODE on the physician's fax.

26.  There are changes in the ASAP report.
    a.  V3R0.  If a compound drug does not have an NDC in the ASAP NDC field then the NDC will be all 9's.
    b.  You can now run the report multiple times without having to close the ASAP window.
    c.  V3R0.  The days supply & quantity are switched.
    d.  V3R0.  You cannot use a "*" in the patient or drug name.  Using the * will cause the data to be incorrect.
    e.  Prescriptions would be included outside of the data range IF their ASAP flag was set.  This is corrected.

27.  Pricing calculations.  When using insurance pricing but not billing a 3rd party the price is now calculated as it was in 3.11.8.

28.  The menu selection of  Report->Prescriptions has been redone.   We've put some of the reports in sub menus.

29.  If you try to delete a UNIT that is being used by another record, a message is now displayed telling you that you cannot delete the unit.

30.  Prescription History window:  You can now view the "Show Rxs" button to show Rxs that are marked as NOT FILLED.

31.  Prescription History window:  If you are using the Rx imaging system, on the "Rx Image" tab you can now view the scanned image PLUS the original prescription information as entered into the software.   For those of you with smaller monitors (800x600) there is a slide bar.

32.  On the chemical order & fax order report we've added the MINIMUM REORDER QUANTITY and STOCK ON HAND filters.  (Issue #7841.)

33.  "To Do" system:  We've added the date entered to the grid.  (Issue #7728).

34.   Florida's WC Form DSF-F5-DWC-10:  The case number and claim number now print just below the injury date.  (Issue #7851).

35.  Florida's WC Form DSF-F5-DWC-10:  There is a new field in the Patient's Workers Compensation window "Out of state claim".  If this is checked the software will print the doctor's DEA number.  If it is not checked, it will print the doctor's state license number.  (Issue #7849).

36.  In the formula & log edit windows we took the grouping boxes on the ingredient and devices tabs out of the tab order.  You can now quickly tab from the FORMULA QUANTITY to the INGREDIENTS.  You will have to use the mouse to activate the group boxes.  (Enhancement request from our seminar).

37.  Compounded claims setup:  You can now add a custom pharmacy logo to the compounded claim form.  Each insurance can have it's own pharmacy logo.    Edit the insurance, go to the offline claims and add the pharmacy logo.  The logo dimensions should be 0.5833 H by 5.0625 W.  The image will be "stretched" to best fit the logo to the form.  You must have the "PRINT CUSTOM LOGO ON CLAIM FORM" checked.  This only works for Rx generated claim forms.  It does not work for manual claims.  (Issue #7509)

38.  The Patient ID is now displayed in the lower right side of the PATIENT PRESCRIPTION HISTORY window.

39.  You can print a report of the patient's allergies from the edit patient allergies window.

40.  You can print a report of the patient's diseases from the edit patient diseases window.

41.  There is a new Sub Formula report.  This lists all CHEMICALS that are marked as sub formulas.

42.  Compounded claim form:  The Rx's DAW flag is now printed on the claim form.

43.  Credit card module:  In Options, you can now setup the Credit card setup->Charge Rx after Filling.  If this is checked, the software will allow the user to charge the patient's credit card after a prescription is filled (new or refill).

44.  There is a new chemical inventory report.  Reports->Chemicals->Inventory & Use for a Specific chemical.  This report combines the inventory added data with the log usage information and calculates a perpetual balance.

45.  TeleManager Interactive Voice Response (IVR) Software, interface module:

Refill TeleManagerTM is one of the most versatile yet easy-to-use and affordable IVR systems available.  This in-store system can interface with The Compounder pharmacy management systems to provide a completely automated "order to pick-up" prescription refill process.  The system's versatility is evident from the large percentage of customers and doctors who use it regularly for their prescription refill orders.  Because of this acceptance by customers and doctors, Refill TeleManagerTM has increased pharmacy prescription refill capacity by 50% in some of our clients' stores.

46.  In Options, the option on Rx setup #2 "Use Triplicate Reminder" has been changed.  In previous versions, it was on for all schedule CII drugs and off for all others.  In this release, you can select:  Off, CII or CII through CV.  (Issue # 7965).

47.  In Options, Rx Setup #2, there is a new Option "Take off 't' for temp logs when made".  If this is checked when you make a log from a temporary lot number using the To Do system, the software will take off the 't' in front of the lot number.  All Rx's filled using the temporary lot number will still have the 't' in the lot number.

48.  When entering a new prescription and the patient has CYCLIC filling checked, the software will now ask if you want this new prescription to use cyclic filling.  (Issue #8023).

49.  When filling a new prescription the warning messages of No  drug, no doctor, etc. have been changed.  The software will now display the message and then go directly to the required information window.  If more than one item is missing you will need to press the Save button again.

50.   In Options, Rx Setup #2, there is a new Option "Use Status Instead of Box for Rx Messages".  If this is checked the software will display the Rx messages on the bottom of the window instead of a dialog box.  The default is unchecked and should remain unchecked until you are familiar with the software. 

51.  If the prescription has been scanned and has an image when you refill the prescription you will be asked if you want to view the image.  If you select YES the prescription image tab on the Refill window will be displayed.   (Issue #7934).

52.  Chemical lookup:  You can now search for chemical by WHOLESALER ORDER NUMBER.  This is in conjunction with the current order number.  (Issue #7962)

53.  The Automated Off-site backup server now maintains the last SEVEN (7) backup copies.

54.  The Automated Off-site backup now adds the backup information to the DataTrack system in The Compounder.  The backup information can be seen in The Compounder.  File->Backup & Restore->Off-site backup report.

55.  Inactive pharmacists & technicians will now show in the drop down lists for logs and while editing a prescription.   The lists are sorted by active, last name, first name.  This is to allow a user to select an inactive pharmacist or technician while EDITING.  (Issue #8046)

56.  Third Party Reconciliation:  You can now add and edit payment information for each claim.

57.  Third Party Reconciliation:  There is a new payment reconciliation report.

58.  The Formula inventory report now has more filters available.

59.  The Log Of Scripts report has a new filter:  By formula drug type (Brand, Generic, Compound).

60.  From the To-Do Management System you can now go directly to the Rx, patient, doctor or formula for the current item.  There is a new drop down button VIEW.  Click VIEW and use one of the drop down choices.   (Issue #8071).

61.  The PKS Off-site backup will now send daily e-mails from our server.  This e-mail has information about your backup status.  It tells the date of the last backup, the number of days since the last backup.  It also gives warning messages if you have not done a backup within the past two days.

62.  There is a new report on the number of prescriptions a a doctor has written between a date period.   Reports->Doctors->Doctor Prescription Count.

63.  There is a new PKS Off-Site backup utility. 

64.  CAM 32 POS (Point of Sales system):  There are two new items that can be added to the Rx label and bar coded to make the data input into CAM 32 easier.  The two new items are:  "x"+Rx number.  "x"+Rx number+Fill number.

65.  There is a new Workers' Compensation insurance claim form for Better Workers' Compensation.

66.  There is a new Patient Consultation report that shows all of the upcoming appointments for the next 30 days.  Reports->Patients->Consultations for the next 30 days.

67.  Prescription Log of Scripts report:  You can now group on FORMULA (name, strength, form).

68.  Prescription Log of Scripts report:  You can now group on THERAPEUTIC CLASS.

69.  There are four new Rx label styles for the IACP guidelines.  New users with 3.13.0 will have the new labels loaded automatically.  Existing users can load the label style by using the LOAD FROM FILE COMMAND in the RX LABEL BUILDER.  The new label styles are in the C:\Program Files\PKS3\RxLabelStyles folder.  The names are:  IACP HUMAN, IACP OFFICE USE, IACP HUMAN PAL, IACP OFFICE USE PAL.  The ones with the PAL at the end take off one of the receipts and prints the following message:

This medicine was compounded specifically for you in a pharmacy to fill the prescription your doctor wrote for you.  It was specially made to meet your individual needs. If you have not done so, please discuss this medicine with your doctor to ensure that you understand (1) why you have been prescribed a compounded medicine, (2) how to properly take this medicine, and (3) the interactions, if any this medicine may have with any other medicines you are taking.

Compounding is a long standing pharmacy practice that allows doctors to treat their patients' individual needs without being restricted only to off-the-shelf medicines or devices.  This medicine was prepared in a compounding pharmacy to meet the specifications ordered by your doctor.

1. Call your doctor if:
·You experience any side effects.
·
You are taking additional medicines that may interact with this compounded medicine
·
You have allergies or other medical conditions that should be noted.

2. Call our pharmacists if:
·
Information on the label is not clear to you.
·
You have any concerns regarding precautions, ingredients or proper storage.

Our pharmacists will be happy to help with any additional questions or concerns.

70.  There is a new PATIENT ADVISORY LEAFLET for the IACP compounding information.  New users will have this pre-loaded in their data file.  Existing users will need to create a new PAL and copy and paste the above IACP paragraphs to get the information..

71.  In the Options, you can now enter your pharmacy's PO city, state & ZIP.  There is a check box to the side of this that will allow you to print your pharmacy's PO Box for the A/R statements & invoices.

72.  Accounts Receivable / QuickBooks module:   When linking QuickBooks customers to an account, the link is now a drop down menu.  This makes it very easy to view the account information in QuickBooks.

73.  Bulk Prescription filling module:  There are several changes to this module.  a. The software can now automatically select the lot number based on first to expire.  If there is not enough of the current lot to fill the Rx, the software will prompt you to select the next lot number.  b.  You can turn off the "Is everything correct on this Rx" message.  c.  You can turn off the confirmation to fill the next Rx. NOTE:  this will automatically put the new Rx in que and you cannot cancel until you have completed all bulk Rxs.  d. You can now turn off the PRINTER DIALOG BOX while printing Rx labels.

74.  New options:  You can now turn off the PRINTER DIALOG BOX for prescriptions.  File->Options->Rx Labels.  Check "No Print Dialog for Rx labels".

75.  You can now search for chemical by NDC number.

76.  You can now search for logs by NDC number.

77.  You can now group the Prescription Log Of Scripts report by Insurance code.

78.  There was a change for Australia users in the shortdateformat variable for Windows.  You can now use the ShortDateFormat of dd/MMM/yy.


79.  Log of scripts report and grouping:  If you select TOTALS ONLY for the Report Details, and you use a GROUP BY method, the log of scripts report now shows totals for the groups.  In previous versions the software would show totals for the entire report but not for each group.

80.  Prescription Log of Scripts report:  You can now group on PATIENT GENDER.

81. Prescription Log of Scripts report:  You can now group on PATIENT SPECIES.

82. Prescription Log of Scripts report:  You can now filter by PRESCRIBED DAW.

83. Prescription Log of Scripts report:  You can now filter by DISPENSED DAW.

84. Prescription Log of Scripts report:  You can now filter by RX ORIGIN CODE.

85.  Clinical checks:  When the software checks for patient disease/drug contraindications, patient drug allergies, drug-drug interactions, drug-food interactions, therapeutic duplication: you must now enter "YES" to continue past the screen.  This is to acknowledge that this screen was read.  The data is read into the Data-Tracking system.  Many state boards now require this. (Issue #8423)

86.  The logged formula worksheets, Avery batch labels, thermal batch labels now print a bar code.   You can also add this bar code to the custom batch label styles.  The bar code is LG plus the log ID.  I.e.  LG454560.  This is bar coded for the symbol Code 128.   Now that you have a bar code of the log you can now search for formulas & logs by the bar code.  This is useful throughout the program.   You can lookup logs by the bar code.  When filling a prescription you can select the drug/formula by using the bar code & thus verifying that you are dispensing the right formula/drug.   When looking up a drug/formula you do not need to switch to the "BAR CODE: LOG ID" in the Search By field.  If you leave it as NAME/SCode and scan the bar code, the software will automatically search by the bar code.

87.  "Prescriptions that are due between..." report:  (Reports->Prescriptions-Prescriptions that are due between...>) You can now print the MAIN REPORT, print SIMPLE MAIL MERGE LETTERS (this text is fixed and cannot be changed), print MAILING LABELS and create a MAIL MERGE DATA DUMP file.  You can use the MAIL MERGE DATA DUMP to export the data and create your own mail merge letters in your favorite word processor or other software. 

88.  "Prescriptions that are due between..." report:  (Reports->Prescriptions-Prescriptions that are due between...>)   There is a new check box "Include Rxs with Refills only".  If this is checked the report will only include those Rxs that have refills remaining.

89. End of Day Reports:  We've added another report, the REFILL NARCOTIC REPORT.  This is to print a report of CII prescriptions that were filled for Hospice patients and that were done as partial fills.  The completion of the partial fill will be shown in this report.

90.  Corrected an issue with the To-Do system with cyclic filling.   The due date was not be added to the To-Do item record.

91.  A/R QuickBooks module:  When editing a patient and adding them as a new account, the software will now check QuickBooks and see if there is already a customer.  If not, the software will now ask if you want to add the customer to QuickBooks.

92.  A/R QuickBooks module:   The invoices in QuickBooks have been changed slightly to adjust the quantity column.  If the price is $0.00 the quantity will display blank.

93.  Viewing a log, the VIEW log button has been fixed.  In 3.13.3 you could view the log, but the ingredients we not displayed.

94.  Bulk Rx filling module:  The software now tracks the number of Rx's per patient.  This number is used in the bulk filling process.  This number is displayed in the edit patient->preferences tab.  It's next to the IMPORT BULK Rx flag.

95.  Bulk Rx filling module:  There is a new report that shows the patients and the number Rx's to be processed for each patient.

96.  Patient Import (CSV).  There is now two formats that are accepts.  The delimiters are:  ,   OR ",".  When the software load the file, it will scan the file and automatically select the correct import format.

97.  Patient Import (CSV).  The software now looks for matches in the patient field by searching for EXACT MATCHES on last name, first name and Address line #1.  If it finds an exact match the import utility does not import the patient, but sets the IMPORT flag to true and increases the BULK RX flag.

98.  The Texas WC form now allows you to print the BRAND NDC and the GENERIC NDC numbers in their respective fields.

99.   The software now allows you to correctly make a log for a formula that has ZERO ingredients.

100.  Editing a log & editing the quantity remaining of a log is now faster.

101.  MS Word simple mail merge letters.  The THERAPEUTIC CLASS filter now works properly.

102.  A/R QuickBooks module:  There is a simple utility we can use to test the connection to QuickBooks.

103.   Reports->Formula->Worksheet & sub formulas is now corrected.

104.  There is a new report that shows formulas, their pricing information and quantity pricing. Reports>Formulas> Quantity Pricing report.

105.  Texas WC form now prints a bar code at the bottom of the claim form. This was requested by TX WC. Form #10 Texas W.C. TWCC-66 (07/04)

106.  Bulk Rx filling module:  There is a new utility to clear the patient import flags & reset Rx count.

107.   A/R QuickBooks module:  The interface load to QuickBooks is now faster.   You can now use the drop down list to link an account to a QuickBooks account.   There is a new refresh button.  This button was added to refresh the data from QuickBooks. 

108.  When you have a window that displays a confirmation asking you to enter YES, Y, NO or N.  You can now use the mouse to click on the YES or Y.  This is for users that have a mouse in their hood & they keyboard is outside the hood.

109.  There were several changes to the Florida's Worker's Compensation claim form.

110.  There were a few changes to the bulk fill module.  (Custom programming).

111.  New Work Medicaid: The online billing field EK was mapped to the serial number.

112.  There is a new utility that will import Doctors information from a CSV file.   File->Import/Export->Doctors->Import CSV.  The file MUST be in the exact column order as specific in the window. You can use common programs such as Excel or Access to add or delete columns to make your data match before you do the import.

113.  There was a change in the CAM 32 Point of Sale interface module.
